Webinar Reflection: Creation, Execution, and Strategic Purpose

Creating this webinar presentation helped me understand how public relations strategy, event planning, creative messaging, and logistics work together to support a client’s goals. Throughout the process, I focused on developing a proposal that felt professional, visually appealing, and aligned with the Flight Fuel Café brand. I wanted the webinar to serve as more than a simple promotional event, so I designed it as a community-centered brand introduction that could build awareness, encourage engagement, and create measurable results. This process also helped me strengthen my ability to organize a client-facing presentation, connect strategy to execution, and explain how media promotion, partnerships, audience interaction, and follow-up communication can turn an event into a stronger public relations opportunity.

Facebook is a good fit because it reaches parents, military families, local residents, community groups, and professionals who may be interested in supporting local businesses. It also allows Flight Fuel Café to create an event page where people can RSVP, share the event, and receive reminders. Content on Facebook will include the full event announcement, the press release link, a Facebook Event page, speaker information, and reminder posts. Facebook promotion will begin two weeks before the webinar. A reminder post will be shared one week before the webinar, followed by a final reminder the day before the event.

Email marketing is effective because it gives Flight Fuel Café a direct way to reach people who may already be interested in the brand, local events, coffee culture, entrepreneurship, or community engagement. Email also works well for professional audiences who may not see every social media post. The email campaign will include a formal webinar announcement, a reminder email one week before the event, and a final reminder on the morning of the webinar. The content will include the webinar title, date, time, registration link, short description, and reason attendees should participate.

Instagram is a strong fit for Flight Fuel Café because the brand depends heavily on visual appeal. Coffee, aviation inspired décor, behind the scenes content, and short form video can quickly grab attention from students, young professionals, commuters, and local community members. Content shared on Instagram will include teaser Reels, countdown Stories, coffee photography, short clips of the café concept, and branded graphics announcing the webinar. The promotion will begin two weeks before the webinar with an announcement post. One week before the event, countdown Stories and reminder graphics will be shared. During the final 48 hours, Reels and Stories will focus on urgency with “register today” messaging.

TikTok is useful for reaching younger audiences and people who respond well to fast, creative, personality-driven content. Since Flight Fuel Café has a strong visual identity, TikTok can help show the energy of the brand in a way that feels modern and engaging. TikTok content will include short teaser videos, quick coffee shots, aviation inspired visuals, behind-the-scenes clips, and a short voiceover explaining why the webinar matters. Promotion will begin about 10 days before the webinar. A short teaser video will be posted first, followed by a reminder video three days before the webinar and one final post on the day of the event.
